Running a digital campaign doesn’t stop when someone takes action. What happens after the click – how supporter data flows into your database, how follow-ups are triggered, how you re-engage your community members – is just as important as the action itself.
That’s why CRM integrations matter.
Proca is designed to work as a digital campaigning widget that fits neatly into your existing tech stack, rather than forcing you to rebuild your workflows around a new tool. The action form embeds on your website, and in the backend, the action information and supporter data flows smoothly into your CRM/database/mailer.
Easy integration
Most organisations already rely on a mix of tools: CRMs, mass mailing platforms, fundraising databases, and internal reporting systems. Manually exporting data between them can be slow, error-prone, and frustrating. And worse: it often forces the campaigner to seek help from their overworked tech team!
Proca integrates directly with organisations’ databases and mailers, making sure that supporter data collected through actions flows automatically to where it’s needed and useful. Whether someone signs a petition, sends a mail-to-target, or takes part in a coordinated social media action, their data doesn’t get stuck in limbo, and you can use the information about their action in future campaigns.
This creates a seamless experience for both campaigners and supporters:
- Supporters take action ->
- Their data – including their action record – appears in your CRM ->
- Follow-up emails, journeys, or fundraising asks can be triggered without time-consuming manual import work.
Cleaner data, better engagement
Because Proca is built with data privacy in mind, integrations help keep your supporter records safe, clean and usable.
Campaign-specific fields, action history, and metadata can be passed into your CRM in a consistent way. Proca can match the field name customisation you use in your CRM or mailer – with a bit of custom configuration. This makes it easier to segment audiences and understand supporter behaviour over time.
For campaigners and NGO tech teams, this means:
- Less time cleaning spreadsheets with supporter data,
- Fewer duplicate records,
- Clearer insight into which actions supporters have taken and where they are in their journey,
- An overall better understanding of your email list health and engagement over time.
For supporters, it means more relevant and personalised communications.
How we synchronise
Proca solves the data synchronisation issue – the two-way conversation between Proca and the receiving CRM – in a fast innovative way based on a concept of a “queue”.
In moments of high activity – for example when you launch your campaign and there’s thousands of actions taken in a short amount of time – we use a “buffer” method to feed the data to your CRM as fast as it can handle it, but without overloading your system.
We support multiple different modes of synchronisation, based on which supporter action information is important for you to keep in your CRM. We can push:
- Only data of supporters with a completed double opt-in,
- All opted-in supporters (with or without the double opt-in confirmation if that’s your chosen workflow),
- All opted in and opted out supporters, so you can check these actions against your existing supporter records,
- All supporter action information, including any secondary action (share, click on donation link, etc).
Flexible integrations
Proca’s integration approach is flexible enough to support different organisational setups, whether you’re a small team with a lightweight database or a larger organisation running complex, multi-country campaigns. This is just one of the many things that makes Proca the perfect tool for coalition campaigns.
Proca can integrate with:
- CRMs and supporter databases,
- Email and newsletter tools,
- Donation/fundraising platforms,
- Other internal systems used for reporting or mobilisation.
We keep adding new integrations, but for the moment we’re all set up to work smoothly with:
- Action Network,
- Brevo,
- Active Campaign,
- Mailchimp,
- CiviCRM,
- Salesforce,
- Clever Reach,
- Mailjet,
- Engaging Networks.
If your CRM isn’t on the list – no worries. It usually doesn’t take us more than a few hours of development to add an integration that would work for you. Just get in touch and let’s chat.
And remember: Proca’s open source philosophy means that features developed by one client become part of our code available to all of our partner organisations in the future, so you might end up indirectly supporting the progressive CSO movement.
In short: Proca doesn’t replace your CRM — it makes it more powerful.
